General terms and conditions of hire

Witney Masonic Centre has a site wide no smoking policy. Smoking is only permitted in the street away from the front door.

 

All room and hall bookings are for a minimum of two hours

 

Provisional bookings will be held for 48 hours, after which they will be released.

Bookings are secured by a non-returnable deposit (£40 for the hall and £30 for a meeting room) or by making full payment at the time of booking

A £200 cash surety payment is to be made before the function and will only be returned in full when no damage or serious mess has been found.

Shoes are to be worn at all times in the hall, the hall floor is untreated and not polished so splinters can occur. WMC Ltd accepts no responsibility for any injuries caused by not heeding this warning.

 

At the end of the booking the hirer will ensure the Centre is cleared of all rubbish, swept and all furniture is put away and all cleaning equipment is returned to its original location.

 

At the end of the booking the hirer will ensure all rubbish is bagged up in their own black bags and placed in the large blackbin at the rear of the building.

 

If applicable, at the end of the booking the hirer will ensure all doors and windows are closed and alllights turned off before leaving the building. The hirer accepts responsibility for securing the building upon leaving it.

 

Access to the hall is by key, this key if needed is to be collected from an address given at a mutually agreed time and date.

 

It is the hirers' responsibility to familiarise themselves with the locations of the fire extinguishers, fire exits and fire assembly points.

 

It is the hirers' responsibility to make those attending familiar with fire exits, fire assembly points and what action to take in the event of a fire.

 

As there is no phone in the building, it is the hirers' responsibility to have a mobile phone with them during their time in the building.

 

The behaviour of those attending a function at WMC is the sole responsibility of the hirer and it is that person who will be held liable for any damage or legal actions.

 

 Where the hirer is providing their own catering, the WMC kitchen cannot be used. Where the urn is used it is the responsibility of the hirer to ensure it is used safely and to disconnect and empty the urn at the end of their booking.

Because of the height of the hall ceiling, helium ballons should not be brought into the building. If they are and they escape and float up to the roof of the hall, a fee of £25 per ballon will be deducted from the surety payment to compensate for the difficulty in retreiving them.

 

in case of problems on the night, the hirer is  to provide as contacts the names and mobile phone numbers of two people at the event. These two people will be over 20 years old and will not be drinking alcohol at the function.
 

The hirer will ensure this is a private function and the public are not allowed in, and the hirer will take adequate steps to prevent gate crashers.

 

The hirer will take suitable steps to ensure those attending (especially anyone consuming alcohol)  act in a reasonably acceptable manner.

 

The hirer will ensure noise is kept to a minimum upon arrival and especially when leaving giving due consideration to the residents living in dwellings either side and at the back ofthe Centre.

 

Unless corkage of paid, the hirer agrees only soft drinks and alcohol purchased from the Centre bar will be consumed on the premises by all those attending the event.

 

It is the hirer’s direct responsibility to ensure any Government Covid-19 guidelines in place at the time of hire are adhered to by all those attending the event.

 

The bar at Witney Masonic Centre closes at no later 23:15 hours with the last tune also being played at this time. There is then 30 minutes minimum drinking up time; the building is then vacated by 23.45 hours,closed, locked and alarmed by midnight.
